WEA Room Hire Terms and Conditions
1. Bookings for rooms will only be confirmed once the following relevant payment is received by WEA:
a. Single Hire Date – Payment in full at least 21 days prior to the date room is required.
i. If booked less than 21 days in advance of the date room is required, full payment is required at time of booking
(unless otherwise negotiated).
b. Multiple Hire Dates – A deposit of 50% of the full booking fee is required at least 21 days prior to the first hire date
(unless otherwise negotiated).
i. Full payment is required 14 days prior to the first scheduled hire date.
2. Alterations or cancellations of bookings requires notification in writing (email or letter).
a. Each notified alteration or cancellation to the original booking will incur a $25.00 administration charge
(unless otherwise negotiated).
b. No refund will be provided for cancellations received within 14 days of the first hire date of the original booking arrangement.
c. A booking will be deemed to be cancelled if outstanding booking fees are not paid within 14 days of the first hire date of the
original booking arrangement.
3. Hire Rates are inclusive of GST and subject to change at any time by WEA Management.
a. Once a deposit or full payment for Room Hire bookings has been received by WEA, Hire Rates will not be altered.
4. Minimum Room Hire time is 2 hours per room during Standard Operating Hours as defined in Clause 6 below, and 4 hours per room
during Out-of-Normal Hours times.
5. Out-of-Normal-Hours Hire rates are available upon request.
6. Definitions
a. Standard Operating Hours means Mon to Sat 9am to 5pm on days where WEA classes are scheduled to run.
b. Out-of-Normal-Hours means all hours outside of 6.a.
c. Single Hire Date means room hire for a single date.
d. Multiple Hire Dates means room hire for more than one date in a booking.
e. Per Hour, where advertised, means during Standard Operating Hours.
f. Day Rate (7 Hours), where advertised, means 7 consecutive hours between during Standard Operating Hours.
g. Flexi Room means Room 1-3 in the WEA Building, 223 Angas Street, Adelaide
7. All rooms include whiteboard and screen.
Data projector, internet access and PC is also included however a booking is required for these.
8. Other facilities/services available at an additional fee:
a. Tea and coffee: up to 20 people $50, extra $10 per 5 persons thereafter
b. Microphone and speakers $40 per session
c. Photocopying available up to 50 sheets at $0.25/sheet, 50+ sheets at $0.20/sheet. Advance notification required for 50+ pages.
d. Parking at WEA Centre, $5 per day (subject to availability), payable by payWave or gold coin upon entry.
e. Disability access ramps at front and rear, reserved parking at rear, disabled toilet/shower and lift.
9. All WEA classrooms are hired in their original layout (chairs/desks etc). Please feel free to change the classroom to cater for your requirements,
however at the end of each day of your room hire the classroom must be returned to its original layout.
a. Failure to return the classroom to its original layout will incur a minimum pack up fee of $50.00.
10. Set up may be arranged at the time your booking is made and will incur a setup fee of a minimum of $50.00.
This fee may be confirmed at the time of your booking.
11. Hirers will incur additional charges for any damage or cleaning necessitated by their activity.
12. Equipment that is hired in addition to your room hire must be set up by the Hirer.
This may be set up on your behalf by a WEA staff member for a fee to be confirmed at the time of booking.
13. Hirers must ensure they have appropriate Public Liability insurance cover for their activity. The Hirer releases and indemnifies WEA
from any claim by the Hirer or any other person in connection with the activity conducted by the Hirer in the hired room.
14. Where alcohol is to be served, Hirers are responsible for acquiring an appropriate limited “Liquor Licence”. Applications for short-term
licences can be lodged online on the Consumer and Business Services website (www.cbs.sa.gov.au). A copy of this licence must be
forwarded to WEA prior to the hire date. To assist with completing the liquor licence application form you will need to know that WEA
has six female toilets and six male toilets situated on the 1st floor and ground floor, and one unisex toilet at the rear of Cottage A,
adjacent to the main building.
There is also a toilet with disability access on the ground floor. If liquor is sold/served without an appropriate liquor licence a maximum
penalty of $20,000 for the first offence and $40,000 for a second or subsequent offence can apply under the Liquor Licencing Act 1997.

15. Payment of deposit and/or full Room Hire fees denotes acceptance of these Terms and Conditions, including but not limited to the
Hirer’s agreement to pay reasonable additional costs as outlined in these Terms and Conditions.
16. WEA reserves the right to refuse room hire for any reason, including but not limited to conduct or activities deemed inappropriate or in
commercial conflict with WEA business or in cases of non-compliance with these Terms and Conditions.
